Organising An Event

Getting started! Holding an event is a fun and rewarding way of raising vital funds for Oakhaven Hospice. No matter whether your event is large or small, the team at Oakhaven will be on hand to help and advise, and can provide useful materials, such as collection boxes, T-shirts and leaflets. Listed below are our top tips for organising your own event; for more information please contact the Fundraising Team.

Set objectives and aim high! The best way to engage people and get them involved in your event is to clearly communicate why you are raising the money and what the funds raised will do for Oakhaven. You may already have knowledge of the Hospice from personal experience, but if you would like further information, please contact the Fundraising Team and we can provide you with fact sheets that give useful information. Set a target and tell everyone how much you plan to raise; get people excited and you will probably exceed your target!

Get others involved If you are planning a larger project, set up a committee to help manage the event - as well as sharing the work, getting a group together means more contacts and ideas to help make the event a success!

Planning ahead Think about the group you want to attract and how best to fit the event into their interests. Be aware of other factors, such as likely weather conditions, other major events, school and Bank holidays, and availability of venues at different times of year. When choosing a venue, also consider key points such as car parking, facilities, access and safety, and whether you might need a license. Try and find a free venue to maximise your profit!

Sponsorship Try and find a sponsor to cover some or all of the event costs, enabling you to raise even more funds - in return you can feature the sponsor's support on your posters and publicity materials but please talk to the Fundraising Team at Oakhaven before you approach local business in this respect.  If you are undertaking a challenge, rather than holding an event, take your sponsorship forms with you everywhere you go - never miss an opportunity to collect pledges and remember how easy it is now to get your sponsorships online through www.JustGiving.com and don't forget Gift Aid to ensure you maximise your sponsorship income. Raffles, Lotteries & Prize Draws There are strict laws governing raffles, lotteries and prize draws; please consult the Oakhaven Fundraising Office before organising anything of that nature.

Publicity Indentify the group you want to attract, and use posters, in-house publications, individual letters, and local press to publicise your event - we can provide you with the Oakhaven logo to use on your material. We can also ensure your event is promoted through the events diary on this website. Use your own contacts and those of your committee to spread the word.

Keeping in touch It helps if you keep in contact with people who have supported you - you could send them an update email, or produce a one page newsletter telling them about your progress. After the event, send them a thank you letter, perhaps with a photo from the event. Your supporters will feel part of your team, and be even more committed to your future fundraising activities! Please also keep in touch with the Fundraising Team at Oakhaven so we know how your event is progressing and have its full details so that we can answer questions about it that may come to us for the public.
