Terms and Conditions for Events organised by Oakhaven Hospice
These Terms and Conditions apply to all events organised by Oakhaven Hospice. By registering for, purchasing tickets for, or participating in an event, you agree to the following terms:
1. Event Registration and Participation
1.1. All participants must register or purchase tickets in advance where required. Event-specific details will be provided on promotional materials and the Oakhaven Hospice website.
1.2. Registration fees or ticket purchases are non-refundable.
1.3. Some events may have age restrictions, which will be clearly stated at the time of registration.
1.4. Attendees under 18 must be accompanied by a responsible adult unless otherwise stated.
2. Fundraising and Donations
2.1. Some events may require participants to raise sponsorship or contribute to fundraising efforts. All funds raised must be submitted to Oakhaven Hospice within 30 days of the event.
2.2. Donations made to Oakhaven Hospice are non-refundable.
2.3. All fundraising activities must be conducted legally, ethically, and in accordance with Oakhaven Hospice’s Fundraiser’s Code of Practice.
3. Event Conduct and Behaviour
3.1. All attendees must behave respectfully towards other participants, event staff, volunteers, and members of the public.
3.2. Oakhaven Hospice reserves the right to refuse admission or remove anyone from an event whose behaviour is deemed inappropriate, disruptive, or offensive.
3.3. No illegal, dangerous, or inappropriate items may be brought to any event.
4. Health, Safety, and Liability
4.1. Participants take part in events at their own risk. Oakhaven Hospice is not responsible for any injuries, illnesses, or losses sustained during an event.
4.2. Participants must comply with all health and safety instructions provided by event organisers, marshalls, or venue staff.
4.3. If you have a medical condition that may affect your participation, you should seek medical advice before attending.
4.4. Some events may require attendees to sign a disclaimer before participation.
5. Tickets, Payments, and Refunds
5.1. All ticket prices and entry fees are clearly stated at the time of purchase.
5.2. Tickets are non-refundable and non-transferable unless authorised in writing by Oakhaven Hospice.
5.3. If an event is postponed, ticket holders may be given the option to transfer their booking to a rescheduled date.
6. Event Changes and Cancellations
6.1. Oakhaven Hospice reserves the right to alter event details, including date, time, venue, and format, where necessary. Attendees will be informed of any changes as soon as possible.
6.2. In the event of cancellation, Oakhaven Hospice will make reasonable efforts to provide alternative arrangements.
6.3. Oakhaven Hospice is not responsible for costs incurred by participants due to event cancellations or changes.
7. Photography, Filming, and Media
7.1. By attending an event, you consent to being photographed or filmed for promotional purposes, including use on social media, websites, and printed materials.
7.2. If you do not wish to be photographed or filmed, please inform event organisers before or during the event.
8. Personal Data and Privacy
8.1. Personal information collected during event registration will be processed in accordance with Oakhaven Hospice’s Privacy Policy.
8.2. Your contact details may be used to provide event updates and information about future fundraising activities. You can opt out at any time.
9. Sale of Goods at Events
9.1. If an event includes a second-hand sale, market stall, or auction, all sales are final, and no refunds will be given unless goods are faulty.
9.2. Oakhaven Hospice does not guarantee the condition or authenticity of items sold at second-hand sales or charity auctions.
9.3. Sellers must ensure that all goods donated or sold comply with UK consumer safety regulations.
10. Pets and Animals
10.1. Some events may permit pets, while others may not. Please check the event details before bringing an animal.
10.2. Where pets are allowed, owners are responsible for their animals and must clean up after them.
10.3. Assistance dogs are welcome at all events unless stated otherwise due to venue restrictions.
11. Alcohol, Smoking, and Drugs
11.1. Alcohol may only be consumed at licensed events and in designated areas.
11.2. Smoking and vaping are only permitted in designated areas.
11.3. The use of illegal substances is strictly prohibited at all Oakhaven Hospice events.
12. Complaints and Feedback
12.1. If you have any concerns or complaints about an event, please contact Oakhaven Hospice within 7 days of the event at fundraising@oakhavenhospice.co.uk
12.2. Feedback is always welcome and helps us improve future events.
By attending or participating in an Oakhaven Hospice event, you confirm that you have read, understood, and agree to abide by these Terms and Conditions.
