Terms and Conditions for the Oakhaven Hospice charity walk

The Oakhaven Walk is not a race so all fitness levels are welcome, however, we do remind those taking part that a certain level of fitness is required to complete the distances.

The terms and conditions below have been written to ensure that Oakhaven Hospice can support its event participants in the best possible way whilst raising as much as possible to fund its vital services.

By registering for and participating in the Oakhaven Hospice Charity Walk, you agree to the following terms and conditions:

  1. Registration

1.1. Participants must register online before the event.

1.2. All walkers must be registered.

1.3. Registration fees are non-refundable.

1.4. Participants must be aged 13 or over. Participants under the age of 18 must have parental or guardian consent to take part and must be accompanied by an adult on the day of the event.

1.5. Participants should advise the fundraising team if they have any allergies; any food or drink provided by Oakhaven during or after the event is consumed at their own risk.

  1. Fundraising

2.1. By registering you confirm that you understand that this is a fundraising event and that you pledge to raise as much sponsorship as possible for Oakhaven Hospice.

2.2. All sponsorship money must be collected and submitted to Oakhaven Hospice within 30 days of the event.

2.3. Participants must not use the event to fundraise for any other cause.

  1. Health and Safety

3.1. Participants take part in the event at their own risk. It is your responsibility to ensure you are medically fit to undertake the walk.

3.2. . By registering you confirm that you understand that this walk at times may be along narrow pathways, cliff-top pathways and non-paved routes, and extra care may need to be taken depending on weather conditions.

3.3. You must follow all instructions from event marshals, organisers, and safety personnel during the event.

3.4. Appropriate clothing and footwear must be worn, considering the weather and terrain.

3.5. Participants are advised to carry water and any personal medication they may require during the walk.

3.6. Alcohol and illicit drugs must not be consumed before or during the event.

  1. Liability

4.1. Oakhaven Hospice accepts no responsibility for any loss, injury, or damage suffered by participants during the event.

4.2. Participants are responsible for their own personal belongings during the event.

  1. Event Rules

5.1. The event is non-competitive, and participants are encouraged to walk at their own pace.

5.2. Dogs are welcome but must be kept on a lead and under control at all times. Dog owners must clean up after their animals.

5.3. Participants must respect the environment, ensuring all rubbish is disposed of responsibly.

5.4. Participants must stick to the designated route and respect private property.

  1. Cancellation and Changes

6.1. Oakhaven Hospice reserves the right to cancel or alter the event at any time due to unforeseen circumstances, including adverse weather conditions.

6.2. In the event of cancellation, participants will be informed via email or phone and alternative arrangements may be offered where possible.

  1. Photography and Media

7.1. By participating, you consent to being photographed or filmed during the event.

7.2. Oakhaven Hospice may use these images for promotional purposes, including social media, website, and press releases.

7.3. If you do not wish to be photographed, please inform the organisers before the event.

  1. Data Protection

8.1. Your personal information will be stored and used in accordance with Oakhaven Hospice’s privacy policy.

8.2. By registering, you agree to being contacted by email regarding this event and future fundraising activities.

  1. Code of Conduct

9.1. Participants must behave respectfully towards other participants, volunteers, and the local community.

9.2. Any participant acting inappropriately may be asked to leave the event.
